Event Privacy Policy

Instructure, Inc. (including our affiliates and subsidiaries collectively, “Instructure”, “we,” “our,” or “us”) has prepared this Event Privacy Policy (“Event Privacy Policy”) to describe our privacy practices regarding the information collected from visitors, participants, and registrants to our events, described at www.instructure.com/events (an “Event”). This Event Privacy Policy operates as an addendum to our Marketing Privacy Policy and California Privacy Notice (collectively the “Privacy Policies”).

By submitting your registration and personal information through our websites or  participation in the Event, you expressly acknowledge that your personal information will be stored and processed in the United States in accordance with the Privacy Policies.

1. HOW WE USE YOUR INFORMATION

Event Registration.  We use our event registration process to collect personally identifiable information that you directly input into our registration forms, as well as in any other webpages we set up as an Event organizer. This data is collected by us and we process it in performance of a contract with you (your event registration) as well as in our legitimate interests to manage the Event and contact you as follows:

  • Manage our Event attendees.
  • Contact you about the Event.
  • Run statistics about the Event. 
  • Improve our future Events.

By completing an event registration form you represent and warrant that you are the person making the registration, or have the express authority from that person to make the registration on their behalf. 

We may collect the following information from you during your registration to an Event ("personal information"):

  • First and Last name
  • Email Address
  • Work phone number
  • Billing information such as mailing addresses, tax identification number
  • Professional or job title
  • Company name, educational institution, or organization name
  • Mailing address
  • Your industry type
  • Your segment type (e.g., K12, HE, FE, RTO, or N/A)
  • Cookie data (e.g., IP address, page clicks, device identifiers, region, browser type)

2. HOW WE SHARE YOUR INFORMATION

We will disclose your personal information only for the purposes described in the Privacy Policies. We will take appropriate steps to ensure that your personal information is processed, secured, and transferred according to applicable laws.

Disclosure to Third Parties. We will share the strictly necessary elements of your personal information, on a need-to-know basis with the following categories of third parties related to the Event.

Event Partners. If you provide consent during the registration process for such disclosure, we may disclose the following information to our Event partners.

  • First and last name
  • Email Address
  • Mailing address
  • Professional or job title
  • Company name, educational institution, or organization name

Third-Party Service Providers. We use third-party service providers (“processors”) to help us run our Events. These include: 

  • Processors involved in organizing a live Event. 
    • These can include conference centers, hotels, event planners, and consultants.
  • Processors that help us run the Event, register participants, and provide event services. 
    • For example, we may share personal information with processors who host our Event websites, or provide email services on our behalf, or process payment card data on our behalf. 
    • We may share your registration details with these processors solely for the purpose of providing services for the Event.

Instructure may disclose information about you if we believe such disclosure is necessary to (a) comply with laws or to respond to lawful requests and legal process; (b) protect or defend the rights, safety, or property of Instructure, attendees of an Event, or any person including to enforce our agreements, policies, and terms of use; or (c) in an emergency to protect the personal safety of any person. We may share information with your consent or as otherwise disclosed at the time of data collection or sharing.

We may also share de-identified and/or aggregated data without limitation.

We will also disclose your personal information to third parties:

  • If you request or authorize us to do so.
  • If you consented to permit us to share your personal information with the event sponsors.
  • To persons demonstrating legal authority to act on your behalf.
  • If we are under a duty to disclose or share your personal information in order to comply with any legal obligation, any lawful request from government officials and as may be required to meet national security, or law enforcement requirements or prevent illegal activity.
  • To respond to any claims, to protect our rights or the rights of a third party, to protect the safety of any person, or to prevent any illegal activity. 
  • To protect the rights, property or safety of Instructure, our employees, customers, suppliers, or other persons.

3. TRANSFERS OF PERSONAL INFORMATION 

Please be aware that the personal information we collect may be transferred to and maintained on servers or databases located outside your state, province, country, or other jurisdiction where the privacy laws may not be as protective as those in your location. If you are located outside of the United States, please be advised that we process and store personal information in the United States.

4. CHANGES TO YOUR PERSONAL INFORMATION. 

You may correct, delete, opt-out, or review your personal information you provided to us by contacting us or in your account by choosing your communication settings in the Instructure Preference Center which is located at https://www.instructure.com/preference-center. 

You may also request changes or deletions by e-mailing us at the e-mailing us at privacy@instructure.com We will respond to your request, when permitted by law, within 30 days. We may be unable to delete personal information that resides in our archives.

6. CHANGES TO THIS PRIVACY POLICY. Instructure may change this Privacy Policy from time to time. If we make any changes to this Event Privacy Policy, we will change the “Last Updated” date above. We encourage you to visit this page from time to time for the latest on our privacy practices.
